SBAA CLUB MEMBERS’ MEETING

CALL TO ORDER

Meeting started at 7:36pm

Executive in attendance: Eric Kurpiela, Donna Kurpiela, Cheryl Houghton, Sara Corneil, John Ibbotson, Jan Blackburn, Sandra Tupper, Rebecca Conolly

Eric- Jeff is not in attendance due to work. Introductions of Executive staff. Website is going to be posted and updated regularly. Meetings are now referred to as “Club Members’ Meetings” and everyone is encouraged to attend.

Cheryl - we are having a club fundraising movie night (Aug 29) at Clova Theatre. Doors open at 9:30am and tickets are $5 each. Tickets will cost an extra $1 at the window. “Aliens in the Attic” or “G-Force”. “Shorts” is not available. She is continuing on with PPF’s. This will all be done online. Junior Jamboree kickoff (Sept 12) has a registration online for PPFs, as well as photo day. Coaches will be signing up online directly for photo day (Sept 19), for U-15 and down.

Ron - How is Club standing financially? Eric- Gaming funds are on hold. Sports and Arts culture is on hold throughout BC. We are not in dire straits, but still money is tight. We are not spending big, hosting fundraisers. Keeping expenditures down. We are okay.
Sara- we are being pro-active doing fundraisers.

Jan - need 2 coaches for U-6. U-7 and U-8 are closed. U-9 and U-10 we have many small teams, possibly will be combining teams. Any coaches, assistant coaches, and managers must go online and fill out Risk Management Form. After it is submitted, Club is notified. Coaches, Assistants and managers must get their cards in to Jan.

Sara - has some team cards ready for Senior teams. Those who do not get cards, see Sara. If kids have not submitted registration they will not be playing without insurance. Several coaches, etc have not submitted their RMForm. U-12 is currently accepting new players. U-14 and U-15 have wait lists.

Donna - team manager is to contact Donna with one team list for equipment and uniforms. Few exchanges are available. Cannot guarantee numbers. Handouts are ready for pick-up. No jerseys in the dryer! Cheques will be cashed if shorts are cut. Uniform Form list of numbers, names and phone numbers to be filled out and re-submitted by team manager by end of September. No names on the balls. U-10’s uniforms are available for pick-up. U-6 thru U-9 are available at Junior Jamboree Kickoff. Donna has the first aid kits and keys and cone-holders. At the end of the season, no equipment will be accepted by a coach unless it is all together. There will be uniform/equipment updates coming out in January. Paint is for the inside of field lining, lime is to be used outside.

Eric - All requested practices have been done. Anybody else needs to email Jeff to get them. U-6 thru U-9, gym permits not in yet- Sandra will work with coaches to book.
Club had an audit this year. We did really well. Kelly, previous treasurer, made a book for the budget, did a great job. All executive helped Eric submit all documentation. Only four minor adjustments needed to be made.
Sara Corneil is stepping down as Senior Registrar. We need a replacement.
Senior Coaches- home fields should be finalized on Sunday.
Check out the website. Encourage parents to attend meetings.

Coaches: use your resources, be creative and innovative

Cheryl - re audit: we can get gaming licenses. If teams want fundraising that require gaming licenses, go to Cheryl. She will help with the paperwork. This includes 50/50, raffles, etc. Coaches are not to fill out any licensing forms individually. They need to go through the treasurer.

Sandra - Club Members are thus called to encourage everyone’s participation. If parent’s come 3X to a meeting, that will be a PPF (in the Coaches’ absence). Every third Wednesday is Club Member meeting. If coach, assitant coach or manager cannot attend - one parent may attend (minimum of 3 times), and it will be their PPF. Must sign in.
Kickoff Jamboree for U-6 thru U-10 is Sept 12, at Don Christian.
U-10 Development is not included in this as they will be starting that weekend. Sandra will be emailing coaches agenda for the Jamboree.
By next week, Sandra will be sending out team lists and the year’s agenda.
Is planning Christmas party. Possibly the Great Escape. It costs almost three times as much. Is it possible to share costs, to keep them at a minimum? Tentative booking date is Thursday, December 3.
September 12 is U-10 development, U-11 and up is start date for the season.
U-9 and U-10 House will be interlocking. U-8 will not be interlocking. U-7 will be interlocking. It is also based on numbers of teams. These schedules will vary between Saturdays and Sundays. Surrey Breakers is the only club that plays games on Saturdays. We will be interlocking with Guilford and Surrey United.

John - new Women’s Coordinator. Breakers has the most women’s teams of all of Surrey. His goal is to make more of a connection with Youth and Women’s teams.
Coach for U-18 asked for a package for the girls to make the leap from Youth to Women’s, including registration.
Eric- Communication is success to any organization
Certifiications- progression within the Club requires higher levels of certification. Coaches need the training. Club will take care of training, on a reimbursement basis.

Sara - re: Ref courses. Must have a minimum of 15 players. Please contact Senior Registrar for further information. Ref courses are available for U-13 and up (12 years old)

Ron Brar (coach) Raised a couple of points wants his team to be in a Breaker club tournament, but has already capped the 4 game-per-year limit. Suggested that we include younger teams in the mix to encourage them to continue playing.
Sandra - expressed concern that younger players would already be finished soccer at this point as they have their last games three weeks previous.
Eric- Club has to pay fees for fields, refs, etc. We have to charge fees for teams to register to Cloverdale Cup.
Andy- recommends that, with a 4 tournie-per-year limit, is should be a Club rule that each team MUST include the Cloverdale Cup as one of those tournaments. It is Breakers hosted tournament and all teams should be participating.
Jan - addressed coaches to help promote the Cloverdale Cup and invite their “away” teams to register.
Albert - points out that by playing up (during tournies) it’s the only way to get better.
Sara - remarked that it is about all the teams and where they aspire to be
Sandy - put advertising at the bottom of team lists as they are given to opposing teams
John - every tournament has its own style and setup. He encourages all coaches to reach out to ALL other teams to join Cloverdale Cup.
Ron - do not charge Club teams for registration to Cloverdale Cup – only to outside teams.
John - explained that the 4-tournie-per-team rule is for the safety of the kids. We need to preserve them and keep them from injury for long-term playing.

Sandra encourages everyone to email the executive all thoughts and reasons for ideas to be more clear.
